Tax & MOT Reminders (taxandmotreminders.co.uk) is a free vehicle reminder service. This policy explains how we collect, use, and protect your personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What information we collect
We collect and process the following personal data:
- Email address — provided when you create an account or log in. This is the only personal information we ask for.
- Vehicle registration numbers — provided when you add a vehicle to your dashboard. Registration numbers are used to look up publicly available vehicle information from the DVLA.
We do not collect your name, address, phone number, payment details, or any other personal information.
How we use your information
We use your data for the following purposes:
- Account authentication — we send a login link to your email address each time you sign in. We do not use passwords.
- Vehicle reminders — if you opt in, we send email reminders before your vehicle's MOT or tax is due to expire.
- Vehicle status display — we retrieve and cache publicly available vehicle data from the DVLA Vehicle Enquiry Service to display on your dashboard.
We do not use your personal information for profiling or behavioural targeting. We do not share your data with advertising networks. Our emails and website may from time to time include sponsored messages or partnership content, but these are static placements that do not involve any personal data or tracking beyond anonymous, aggregated click-through counts.
Lawful basis for processing
Under the UK GDPR, our lawful basis for processing your personal data is:
- Consent — you provide your email address voluntarily when creating an account, and you opt in to email reminders.
- Legitimate interests — we cache publicly available DVLA vehicle data to reduce unnecessary API calls and improve service performance.
Cookies
We use a single essential session cookie to keep you logged in. This cookie:
- Is strictly necessary for the service to function
- Contains no personal information
- Expires when you close your browser or after one hour of inactivity
- Cannot be used to track you across other websites
We do not use analytics cookies, advertising cookies, or any third-party tracking cookies.
Third-party services
We use the following third-party services:
- DVLA Vehicle Enquiry Service — to retrieve publicly available vehicle data (MOT status, tax status, make, colour, etc.). We send only the vehicle registration number to this service.
- Mailgun — to send transactional emails (login links and reminders). Your email address is shared with Mailgun solely for the purpose of delivering these emails.
- Google Fonts — to load the DM Sans typeface. Google may receive your IP address when fonts are loaded. No cookies are set by this service.
We do not sell, rent, or share your personal data with any other third parties. Sponsored content or partnership messages that may appear in our emails or on the website are served directly by us as static content — no personal data is shared with sponsors or advertising partners.
Data retention
- Account data — your email address is stored for as long as you have an account.
- Vehicle data — cached DVLA responses are refreshed periodically and are not retained beyond their cache period.
- Login tokens — expire after 15 minutes and are marked as used.
Your rights
Under the UK GDPR, you have the right to:
- Access your personal data
- Rectify inaccurate personal data
- Erase your personal data (right to be forgotten)
- Restrict processing of your personal data
- Object to processing of your personal data
- Data portability — receive your data in a structured format

Data security
We take appropriate technical measures to protect your data, including:
- All connections encrypted via HTTPS (TLS)
- Login tokens are cryptographically hashed before storage
- Session cookies are secured with httponly, secure, and samesite flags
- Rate limiting to prevent abuse
